7. How we process personal information (POPIA)

Why we process it: to take, deliver and support your orders; to take payment; to answer questions and complaints; to keep business and tax records; to send marketing only where you have agreed; and to run and protect our website.

Whose information: customers and website visitors, suppliers and service providers, and staff or contractors.

What we process: names, contact details, delivery addresses, order and payment information (card details are handled by our payment provider, not by us), correspondence, and website usage information.

Who we share it with: only those who need it to provide our service, such as our payment provider, couriers, website hosting and email providers, and our professional advisers, or where the law requires it.

Information sent outside South Africa: some service providers (for example website, analytics or social media tools) may store or process information outside South Africa. Where this happens, we only use providers that are subject to adequate data protection laws or agreements, as POPIA requires.

Security: we use reasonable technical and organisational measures to protect personal information, including secure (SSL) connections on our website, password-protected systems and limited access.

8. How to request access to a record

  1. Complete Form 2 (Request for Access to Record), available from the Information Regulator’s website.
  2. Send it to our Information Officer at hello@hillhomefragrances.co.za, giving enough detail to identify the record, the form of access you want, and the right you want to protect if required.
  3. Fees, where payable, are those prescribed in Annexure B of the PAIA Regulations. We will tell you of any fee before processing the request.
  4. We will respond within 30 days, as PAIA requires (this may be extended in the circumstances PAIA allows).

A request may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA, for example to protect someone else’s privacy, commercial information or confidential information. If you are not satisfied with our decision, you may complain to the Information Regulator (Form 5) or apply to court.

9. Availability of this manual
